How it works
Three steps. No app required.
CostClerk works entirely through email. There's nothing to download, no dashboard to log into, and no data to enter manually.
01
Forward your invoices
When you receive an invoice from a supplier — PDF, photo, scan — just forward the email to your CostClerk address. That's the only step you need to do.
Supports PDF, PNG, JPG, WEBP, and TIFF attachments up to 10MB.
02
AI reads every line item
CostClerk's AI engine extracts the supplier name, invoice number, every line item, amounts, and project references from the document — even non-standard layouts.
Each item is categorised automatically: materials, labour, transport, or other.
03
You get a cost breakdown
Within minutes, you receive an email back with a CSV attachment — a clean project-by-project summary showing exactly where your money is going.
Open it in Excel or Google Sheets. Columns: Project, Materials, Labour, Transport, Other, Total.

About
Why CostClerk exists
Contractors deal with dozens of invoices every week — from material suppliers, subcontractors, transport providers, and more. Most of them end up in an inbox or a shoebox, and the actual cost picture only becomes clear at the end of the month when someone sits down with a spreadsheet and starts entering numbers by hand.
CostClerk was built to eliminate that manual work entirely. Instead of tracking costs after the fact, contractors can forward invoices as they arrive and get an up-to-date cost breakdown in minutes — by project, by category, with every line item accounted for.
The system is designed to be as simple as possible. There's no software to install, no app to learn, and no dashboard to check. It works through email because that's where invoices already live. Forward the email, get the report.
What we believe
Simple beats feature-rich
One workflow, done well. No bells and whistles you'll never use.
Automation should be invisible
If you have to think about the tool, the tool isn't working hard enough.
Your data is yours
We process invoices and deliver reports. We're not building a data business.
CostClerk is built and operated in Malaysia, for Malaysian contractors. If you have questions, feedback, or just want to talk about how your business handles invoices, we'd love to hear from you.
