CostClerk was built to eliminate that manual work. Instead of tracking costs after the fact, contractors can forward invoices as they arrive and get an up-to-date breakdown in minutes, split by project and category, with every line item accounted for.
The system is deliberately simple. There's no software to install, no app to learn, and no dashboard to check. It works through email because that's where invoices already live. Forward the email, get the report.

CostClerk is a subscription-based invoice automation service for contractors in Malaysia. You forward PDF invoices to our email address, and we send back per-project cost breakdowns as CSV reports. The entire service runs over email — there is no app, dashboard, or login.
This policy explains what data we collect, why we collect it, how we use it, who we share it with, and how you can request deletion. It is written in compliance with Malaysian data protection law.
By forwarding invoices and subscribing to CostClerk, you consent to the collection, processing, and cross-border transfer of your data as described in this policy.
From you directly: Your email address, which is used solely to identify your account, receive your invoices, and send your reports. It is not used for marketing, profiling, or any other purpose.
From the invoices you forward to us: The PDF invoices you send may contain supplier names, pricing and cost details, project names or descriptions, site or delivery addresses, SSM registration numbers, and client names. We process this information solely to generate your cost breakdown reports.
We collect and process your data for the following purposes only:
To operate CostClerk — receiving your invoices, parsing them, generating reports, and emailing them back to you.
To manage your account — maintaining your email on our whitelist so CostClerk recognises your invoices.
To identify common formatting patterns that help us improve parsing accuracy.
We do not use your data for marketing, advertising, or profiling. We do not sell or rent your data to anyone.
To operate CostClerk, we use the following third-party services. Your data is shared with them only to the extent necessary to operate CostClerk:
We use the Anthropic Claude API to parse the content of your invoices. Invoice text and images are sent to Anthropic's servers for processing. CostClerk uses the Anthropic API under commercial terms. Data sent to the API is not used by Anthropic to train their AI models. Anthropic's data handling practices are described in their privacy policy at anthropic.com/privacy.
We use Stripe to process subscription payments. Stripe processes your email address and payment card details. CostClerk does not store your card information. Stripe's privacy policy is available at stripe.com/privacy.
We use Resend to deliver report emails to you. Resend processes your email address and the email content (including attached reports) for delivery.
Our incoming email (where you forward invoices) is hosted on Google Workspace. Google processes incoming emails in accordance with their privacy policy at policies.google.com/privacy.
Our servers and database are hosted on DigitalOcean's Singapore datacenter. DigitalOcean stores and processes the data on our servers as our infrastructure provider.
These are the only third-party services that handle your data.
Some of the third-party services listed above are based outside Malaysia. This means your data may be transferred to and processed in countries outside Malaysia, including the United States and Singapore. These transfers are necessary to provide the CostClerk service to you.
By using CostClerk, you consent to these transfers. All data is transmitted over encrypted connections (HTTPS/TLS) to and from these services. We select service providers that maintain reasonable security standards for the protection of your data.
We do not retain invoice data indefinitely. Processed invoice data and reports are periodically deleted from our systems.
Your email address is retained for as long as your subscription is active. If you cancel your subscription, your email is removed from our active systems when your subscription ends. It may remain in backups for up to 30 days.
We take reasonable steps to protect your data from unauthorised access, loss, misuse, or disclosure. These measures include:
Encrypted connections (HTTPS/TLS) for all data in transit.
Access to our servers is restricted and protected by SSH authentication.
Database access is limited to the CostClerk application only.
No CostClerk staff other than the sole operator have access to your data.
Our servers generate operational logs that may contain your email address. These are used for troubleshooting and are not shared with third parties.
costclerk.com does not use cookies or tracking analytics.
Under Malaysian data protection law, you have the right to:
Access — Request a copy of the personal data we hold about you.
Correction — Request that we correct any inaccurate or incomplete data.
Withdrawal of consent — Withdraw your consent for us to process your data at any time. This will result in termination of your CostClerk subscription, as we cannot operate the service without processing invoice data.
Deletion — Request that we delete all your personal data from our systems.
To exercise any of these rights, email us at hello@costclerk.com. We will respond within 21 days.
The invoices you forward to CostClerk may contain personal data belonging to other individuals — such as your clients, suppliers, or subcontractors (for example, their names, business addresses, or SSM numbers).
By forwarding these invoices, you confirm that you have the right to share this information with CostClerk for the purpose of generating your cost reports.
We may update this privacy policy from time to time. If we make significant changes, we will notify you by email. The latest version will always be available at costclerk.com/privacy.

These terms and conditions govern your use of CostClerk. By subscribing to CostClerk or forwarding invoices to our processing email address, you agree to these terms.
If you do not agree with any part of these terms, do not use CostClerk.
CostClerk is a subscription-based invoice automation service. You forward PDF invoices to a dedicated email address, and CostClerk parses them and returns per-project cost breakdowns as CSV reports via email.
CostClerk is a tool to assist with cost tracking. It does not provide accounting, tax, financial, or legal advice.
We may modify, improve, or discontinue features of CostClerk from time to time in order to maintain or improve the service.
CostClerk is offered as a monthly subscription at RM49/month. Payment is by credit or debit card via Stripe.
Each subscription includes processing of up to 20 invoices per day. Invoices beyond this limit will not be processed until the following day.
Your subscription renews automatically each month unless you cancel. To cancel, visit the Manage Subscription page on the website. Cancellation takes effect at the end of your current billing period — you will continue to have access until then.
We reserve the right to change pricing with 30 days' written notice by email. Continued use after a price change constitutes acceptance of the new price.
Subscription fees are non-refundable. No partial refunds are given for unused portions of a billing period. Refunds may be issued at our sole discretion in exceptional circumstances.
CostClerk uses AI-powered document parsing to extract data from your invoices. While we strive for accuracy, we cannot guarantee that every invoice will be parsed correctly.
You are responsible for reviewing all reports generated by CostClerk before relying on them for any business, financial, or tax decisions.
CostClerk is not a substitute for professional accounting. Reports are provided on an "as-is" basis. We do not accept liability for errors, omissions, or misinterpretations in parsed invoice data.
By using CostClerk, you agree that:
Your CostClerk account is identified by the email address used to submit invoices. You are responsible for maintaining control of that email account.
You will only forward invoices that you are authorised to share. If your invoices contain personal data belonging to third parties (such as clients, suppliers, or subcontractors), you are responsible for having the right to share that data with CostClerk.
You will not use CostClerk for any unlawful purpose, including but not limited to submitting fraudulent, forged, or stolen documents.
You will not attempt to overload, disrupt, or interfere with CostClerk's systems or infrastructure.
You will provide a valid email address and keep your contact information up to date.
We aim to keep CostClerk running reliably, but we do not guarantee 100% uptime. CostClerk may be temporarily unavailable due to maintenance, updates, infrastructure issues, or circumstances beyond our control.
We will make reasonable efforts to notify you of planned downtime in advance via email. Advance notice may not always be possible for unplanned outages.
Your data is handled in accordance with our Privacy Policy. By using CostClerk, you also agree to the terms of that policy.
CostClerk, including its name, website, and systems, is the property of the operator. You may not copy, reproduce, distribute, modify, or reverse-engineer any part of CostClerk except as permitted by law.
The invoices you submit and the reports generated from them remain your property. We claim no ownership over your data.
To the maximum extent permitted by Malaysian law:
CostClerk is provided on an "as is" and "as available" basis, without warranties of any kind, whether express or implied, including but not limited to accuracy, fitness for a particular purpose, or uninterrupted availability.
To the fullest extent permitted by law, the total aggregate liability of CostClerk arising out of or in connection with your use of the service, whether in contract, tort (including negligence), or otherwise, shall not exceed the total amount you have paid to CostClerk in the three (3) months immediately preceding the event giving rise to the claim.
CostClerk shall not be liable for any indirect, incidental, consequential, special, or punitive damages, including but not limited to loss of profits, loss of data, or business interruption, even if advised of the possibility of such damages.
CostClerk is not responsible for the content, accuracy, or legality of any data, documents, or third-party materials submitted to or processed by the service.
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.
Both parties agree to first attempt to resolve any dispute informally by contacting the other party via email. If the dispute is not resolved within 30 days of first contact, either party may proceed with formal legal action.
We may suspend or terminate your access to CostClerk at any time, with or without notice, including but not limited to the following circumstances:
You breach any of these terms.
You use CostClerk in a way that could harm the service, other users, or our infrastructure.
Your subscription expires or is not renewed. Without an active subscription, your email is removed from the whitelist and invoices will no longer be processed.
Upon termination, your data is handled in accordance with our Privacy Policy. We are not obligated to provide continued access to your data after termination.
You may cancel your subscription at any time via the Manage Subscription page on the website. Cancellation takes effect at the end of your current billing period.
Any provisions of these terms which by their nature should survive termination shall continue to apply, including but not limited to limitation of liability and disclaimers.
We may update these terms from time to time. If we make significant changes, we will notify you by email at least 14 days before the changes take effect. The latest version will always be available at costclerk.com/terms.
Continued use of CostClerk after changes take effect constitutes acceptance of the updated terms.
These terms are governed by the laws of Malaysia. Any disputes arising from these terms or your use of CostClerk shall be subject to the jurisdiction of the Malaysian courts.

CostClerk ialah perkhidmatan automasi invois berasaskan langganan. Anda memajukan invois PDF ke alamat e-mel yang ditetapkan, dan CostClerk membaca serta memproses invois tersebut lalu menghantar semula pecahan kos mengikut projek dalam bentuk laporan CSV melalui e-mel.
CostClerk ialah alat untuk membantu pengesanan kos. Ia tidak memberikan nasihat perakaunan, percukaian, kewangan, atau undang-undang.
Kami mungkin mengubah suai, menambah baik, atau menghentikan ciri-ciri CostClerk dari semasa ke semasa bagi mengekalkan atau meningkatkan perkhidmatan.
CostClerk ditawarkan sebagai langganan bulanan pada kadar RM49/bulan. Pembayaran dibuat melalui kad kredit atau debit menerusi Stripe.
Setiap langganan merangkumi pemprosesan sehingga 20 invois sehari. Invois yang melebihi had ini tidak akan diproses sehingga hari berikutnya.
Langganan anda diperbaharui secara automatik setiap bulan melainkan anda membatalkannya. Untuk membatalkan, lawati halaman Urus Langganan di laman web. Pembatalan berkuat kuasa pada akhir tempoh pengebilan semasa anda — anda akan terus mempunyai akses sehingga waktu tersebut.
Kami berhak menukar harga dengan notis bertulis 30 hari melalui e-mel. Penggunaan berterusan selepas perubahan harga dianggap sebagai penerimaan harga baharu.
Yuran langganan tidak boleh dikembalikan. Tiada bayaran balik separa diberikan untuk bahagian tempoh pengebilan yang tidak digunakan. Bayaran balik boleh dikeluarkan mengikut budi bicara kami semata-mata dalam keadaan luar biasa.
CostClerk menggunakan pembacaan dokumen berkuasa AI untuk mengekstrak data daripada invois anda. Walaupun kami berusaha untuk ketepatan, kami tidak dapat menjamin bahawa setiap invois akan dibaca dengan betul.
Anda bertanggungjawab untuk menyemak semua laporan yang dijana oleh CostClerk sebelum bergantung kepadanya untuk sebarang keputusan perniagaan, kewangan, atau percukaian.
CostClerk bukan pengganti perakaunan profesional. Laporan disediakan atas dasar "seadanya". Kami tidak menerima liabiliti bagi kesilapan, ketinggalan, atau salah tafsir dalam data invois yang dibaca.
Dengan menggunakan CostClerk, anda bersetuju bahawa:
Akaun CostClerk anda dikenal pasti melalui alamat e-mel yang digunakan untuk menghantar invois. Anda bertanggungjawab untuk mengekalkan kawalan ke atas akaun e-mel tersebut.
Anda hanya akan memajukan invois yang anda diberi kuasa untuk berkongsi. Jika invois anda mengandungi data peribadi milik pihak ketiga (seperti pelanggan, pembekal, atau subkontraktor), anda bertanggungjawab untuk mempunyai hak untuk berkongsi data tersebut dengan CostClerk.
Anda tidak akan menggunakan CostClerk untuk sebarang tujuan yang menyalahi undang-undang, termasuk tetapi tidak terhad kepada menghantar dokumen palsu, dipalsukan, atau dicuri.
Anda tidak akan cuba membebankan, mengganggu, atau mencampuri sistem atau infrastruktur CostClerk.
Anda akan menyediakan alamat e-mel yang sah dan memastikan maklumat hubungan anda sentiasa dikemaskini.

CostClerk disediakan atas dasar "seadanya" dan "seperti yang tersedia", tanpa sebarang jaminan dalam apa jua bentuk, sama ada nyata atau tersirat, termasuk tetapi tidak terhad kepada ketepatan, kesesuaian untuk tujuan tertentu, atau ketersediaan tanpa gangguan.
Setakat yang dibenarkan sepenuhnya oleh undang-undang, jumlah agregat liabiliti CostClerk yang timbul daripada atau berkaitan dengan penggunaan anda terhadap perkhidmatan ini, sama ada dalam kontrak, tort (termasuk kecuaian), atau sebaliknya, tidak akan melebihi jumlah keseluruhan yang telah anda bayar kepada CostClerk dalam tempoh tiga (3) bulan sejurus sebelum peristiwa yang menimbulkan tuntutan.
CostClerk tidak bertanggungjawab ke atas sebarang kerosakan tidak langsung, sampingan, berbangkit, khas, atau punitif, termasuk tetapi tidak terhad kepada kehilangan keuntungan, kehilangan data, atau gangguan perniagaan, walaupun telah dimaklumkan tentang kemungkinan kerosakan tersebut.
CostClerk tidak bertanggungjawab ke atas kandungan, ketepatan, atau kesahihan sebarang data, dokumen, atau bahan pihak ketiga yang dihantar kepada atau diproses oleh perkhidmatan ini.
Tiada apa-apa dalam terma ini yang mengecualikan atau mengehadkan liabiliti kami bagi kematian atau kecederaan peribadi yang disebabkan oleh kecuaian kami, atau bagi penipuan atau salah nyata secara penipuan.
Kedua-dua pihak bersetuju untuk terlebih dahulu cuba menyelesaikan sebarang pertikaian secara tidak formal dengan menghubungi pihak yang satu lagi melalui e-mel. Jika pertikaian tidak diselesaikan dalam tempoh 30 hari dari hubungan pertama, mana-mana pihak boleh meneruskan dengan tindakan undang-undang formal.
Kami boleh menggantung atau menamatkan akses anda kepada CostClerk pada bila-bila masa, dengan atau tanpa notis, termasuk tetapi tidak terhad kepada keadaan berikut:
Anda melanggar mana-mana terma ini.
Anda menggunakan CostClerk dengan cara yang boleh memudaratkan perkhidmatan, pengguna lain, atau infrastruktur kami.
Langganan anda tamat tempoh atau tidak diperbaharui. Tanpa langganan aktif, e-mel anda dikeluarkan daripada senarai putih dan invois tidak akan diproses lagi.
Selepas penamatan, data anda dikendalikan mengikut Dasar Privasi kami. Kami tidak diwajibkan untuk menyediakan akses berterusan kepada data anda selepas penamatan.
Anda boleh membatalkan langganan anda pada bila-bila masa melalui halaman Urus Langganan di laman web. Pembatalan berkuat kuasa pada akhir tempoh pengebilan semasa anda.
Mana-mana peruntukan terma ini yang sifatnya perlu kekal selepas penamatan akan terus terpakai, termasuk tetapi tidak terhad kepada had liabiliti dan penafian.
Kami mungkin mengemaskini terma ini dari semasa ke semasa. Jika kami membuat perubahan yang ketara, kami akan memberitahu anda melalui e-mel sekurang-kurangnya 14 hari sebelum perubahan berkuat kuasa. Versi terkini akan sentiasa boleh didapati di costclerk.com/terms.
Penggunaan berterusan CostClerk selepas perubahan berkuat kuasa dianggap sebagai penerimaan terma yang dikemaskini.
Terma ini ditadbir oleh undang-undang Malaysia. Sebarang pertikaian yang timbul daripada terma ini atau penggunaan anda terhadap CostClerk adalah tertakluk kepada bidang kuasa mahkamah Malaysia.
